Get Instant Quote: taxi fare calculator

Once a group passes about six people, splitting it across taxis stops making sense. Two cars means two fares, two arrival times, luggage divided between vehicles, and somebody standing on a forecourt waiting for the other half of the party.

A minibus with a driver keeps the group, the luggage and the timing together in one vehicle. 7-seater and 12-seater options for airport transfers, weddings, corporate events and team travel, with the quote built around your actual group rather than a published rate card. This page covers choosing the right size, how Stansted pickups work, what drives the price, and the licence rules if you are considering self-drive. Call +44 20 3617 7825 for a quote. Reviewed August 2026.

→ Quick Answer: What Size, and What Does It Cost?

Count the people, then count the bags. Five to seven passengers points to a 7-seater; eight to twelve points to a 12-seater. But luggage decides as often as headcount does — seven people with a large case each will not fit comfortably in a 7-seater, and the honest answer is to size up.

There is no standard price, and any site quoting one is guessing. Cost depends on vehicle size, distance, duration, number of pickup points, date and whether you need a return. Tell us the journey and you get a real quote rather than a range.

Book early for anything with a fixed date. Weddings and events cannot move, and neither can the demand on those dates. Two to four weeks ahead for an event; 24–48 hours is the minimum for a routine transfer.

7-Seater or 12-Seater? Choosing the Right Size

The decision that determines everything else — and the one people most often get wrong by underestimating luggage.

7-Seater 12-Seater
PassengersUp to 7Up to 12
Comfortable forGroups of 5–7Groups of 8–12
Luggage guideAround 1 medium case per person plus hand baggageAround 1–1.5 cases per person
Typical usesFamilies, small teams, airport transfers for 5–7Wedding guests, corporate groups, sports teams, tours
Watch out forLuggage space is genuinely limited at full occupancyConfirm capacity if the journey involves multiple stops

⚠ The mistake to avoid: seats without luggage space

A 7-seater seats seven. It does not necessarily carry seven large airport suitcases as well. At full occupancy, luggage space is the binding constraint, not seats.

Tell us the bag count, not just the headcount. "Seven of us, one large case each plus hand luggage" gets you the right vehicle. "Seven of us" might not — and discovering that at the kerb with a flight to catch is the worst possible moment.

Four things that decide the size: your passenger count including everyone travelling · the luggage per person · the journey distance, since longer trips reward extra space · and the type of occasion, as weddings and events usually need more capacity than a bare headcount suggests.

Group Airport Transfers at Stansted

How arrivals and departures actually work when the vehicle is a minibus rather than a car.

Arrivals. Your minibus meets the group at the designated group-vehicle pickup area after you exit the terminal — this is managed by airport staff and is separate from the general taxi ranks. The driver assists with luggage and gets everyone loaded, then on to your hotel, venue, office or home.

Departures. The minibus collects the group from your specified location — hotel, office, home, or several addresses in sequence — and delivers you to the Stansted departures forecourt, where you disembark and proceed to check-in.

Direction Timing to allow
Arrival pickup45–60 minutes after scheduled landing, for disembarking, baggage and the walk out. Allow longer for a large group or an international arrival
Departure pickupAirport arrival time (1–2 hours before your flight) minus journey time, minus a traffic buffer — confirmed with you at booking

⚠ A minibus cannot wait at the forecourt

Airport rules require drop-off and collection to be completed promptly, and vehicles cannot wait unattended at the forecourt. This matters for arrivals: if your group is slow through baggage reclaim, the vehicle cannot simply sit there.

If you expect delays getting out — a large group, a long immigration queue, oversized baggage — say so when you book so a suitable arrangement is made in advance. Confirm too whether any airport access charges are included in your quote or billed separately.

What to give us for an airport booking: exact passenger count · flight number and departure or arrival time · expected suitcases per person · the Stansted terminal and your destination address · where the group will meet the vehicle · any mobility requirements, child seats or accessibility needs.

What Driver-Led Hire Includes

Minibus driver loading luggage for a group travelling to Stansted Airport

The driver is not an add-on. They are most of what you are paying for.

A Professional Driver

Included as standard, familiar with the routes, the airport procedures and the practical business of moving a group. Nobody in your party has to drive, navigate, park or worry about the vehicle.

Route and Timing Management

The driver plans the route and manages the timing, including the order of multiple pickups. For a wedding morning with guests at three hotels, that coordination is the whole job.

Luggage Handling

Loading and unloading is assisted, and all the group's luggage travels in one vehicle rather than being split across cars — which removes the usual scramble to work out whose bag went where.

Group Coordination

Particularly valuable on airport collections. One vehicle, one meeting point, one departure — instead of several taxis arriving at different times and a group split across a forecourt.

Multiple Stops

Collections from several addresses, drop-offs at several destinations, or a wait between legs — all arranged at booking. Tell us the stops and the order, and the routeing is built around them.

Return Journeys

Book the return at the same time and it is allocated alongside the outbound. For events with a late finish, arranging the return in advance is considerably easier than finding transport at 23:30.

Self-Drive Minibus Hire

Available in some circumstances — but the licence rules catch out more people than any other aspect of it.

⚠ Check your licence category before anything else

A minibus with 9 to 16 passenger seats requires category D1 on your driving licence. Drivers who passed a standard car test on or after 1 January 1997 do not automatically hold D1 — it must be obtained separately.

Drivers who passed before that date often have D1 as a grandfathered entitlement, but restrictions can apply. Check the categories printed on your own licence at GOV.UK before assuming you can legally drive a 12-seater. Getting this wrong is a driving offence and invalidates insurance.

If self-drive is available for your dates, expect these requirements:

  • Licence category appropriate to the vehicle — D1 or equivalent for larger minibuses, as above.
  • Driver age and experience — typically a minimum of 25 years old, with conditions on licence history.
  • Insurance — included in the rental, but confirm the coverage and the excess you would be liable for.
  • Collection and return — agreed times and locations for both.
  • Fuel policy — usually return at the same level as collection, or fuel charges apply.
  • Damage policy — understand what is charged beyond normal wear before you sign.

Self-drive suits groups with an experienced, correctly licensed driver willing to drive a larger vehicle, longer hire periods of several days, and trips where you want freedom over routeing and stops.

It does not suit straightforward airport transfers, short journeys where a driver is simply more convenient, or anyone unfamiliar with UK roads or larger vehicles. Confirm availability explicitly at booking for your date and vehicle size — if it is not available, driver-led is the alternative.

Weddings, Events and Team Travel

Where group transport stops being a convenience and starts being logistics.

Wedding Guest Transport

Collection from hotels on the morning, transport to the venue, and return afterwards — with multiple pickup points handled in one coordinated run. The alternative is a dozen guests arranging their own taxis and arriving across a forty-minute spread.

Planning a Wedding Booking

Confirm the guest numbers actually travelling, since some will make their own arrangements. Identify every pickup address. Fix the timing against the ceremony and reception. Then book two to four weeks ahead — a wedding date cannot move to suit vehicle availability.

Corporate Events and Conferences

Collecting attendees from hotels or a parking area, moving them to the venue, and returning afterwards. Multiple stops and staged timings are arranged in advance rather than improvised on the day.

Sports Teams

Team members collected from several addresses, transported to a match, tournament or training, and returned afterwards. Equipment travels with the team where vehicle space permits — flag kit volume at booking, as it displaces luggage capacity.

Day Trips and Group Outings

Excursions, team-building days and multi-day group travel. Longer hires and multi-stop itineraries are quoted on the specific plan rather than a per-mile rate.

Late Finishes

Evening receptions and events that run past midnight are exactly when finding transport is hardest. Arranging the return leg at booking removes that problem entirely — the vehicle is already committed to you.

Luxury Minibus Options

Where vehicle presentation is part of the occasion rather than incidental to it.

For weddings, corporate events with senior guests, or VIP group transport, a higher-specification minibus may be available. Where it is, it offers a more comfortable interior for longer journeys, newer vehicles, presentation appropriate to the occasion, and drivers briefed to premium service standards.

Is it worth the difference?

Yes for a wedding where the vehicle appears in photographs and guests' first impressions, for corporate events with high-profile attendees, or for long journeys where comfort compounds.

Not really for a standard airport transfer. A standard minibus does that job perfectly well, and the premium buys presentation nobody is going to notice at 05:00 on the way to a departure gate.

Discuss the occasion when requesting your quote and we will recommend the appropriate specification rather than defaulting to the most expensive one.

What Determines the Cost

Nine factors, no rate card — and a straight explanation of why that is.

Factor Effect on the quote
Vehicle sizeA 12-seater costs more to run than a 7-seater
Journey distanceThe primary factor on point-to-point transfers
Hire durationA one-way transfer, an hourly hire and a full-day booking price differently
Number of stopsMultiple pickups or drop-offs add time and routeing complexity
Date and timePeak dates and unsocial hours can carry different rates
One-way or returnReturns are priced differently from two separate one-ways
Airport transfersOften priced as a flat rate for the route
Waiting timeA wait between legs — during a ceremony, say — is factored in
Special requirementsAccessibility provision, child seats and unusual timing may adjust the quote

Why there is no standard price

A 12-seater airport transfer, a full-day wedding hire with three pickups and a four-hour wait, and a one-way team run to a fixture are three completely different jobs. Any single "UK minibus hire price" would be wrong for at least two of them.

Give us the actual journey and you get an all-inclusive figure you can rely on, rather than a range that moves when you book.

Settle These Six Before You Enquire

What size minibus do I need?

Five to seven passengers suits a 7-seater; eight to twelve needs a 12-seater. Luggage matters as much as headcount — a full case per person often means sizing up.

Is a driver included?

Yes. Standard minibus hire is driver-led — the driver manages the route, assists with luggage, handles airport procedures and keeps the group coordinated. It is included in the price.

How much does minibus hire cost?

There is no standard rate. Price depends on vehicle size, distance, duration, number of stops, date and whether you need a return. Give us the journey and you get a real quote.

Can a minibus collect at Stansted Airport?

Yes, from the designated group-vehicle pickup area. Allow around 45–60 minutes after landing for baggage collection before the minibus is due — longer for a large group.

Can I hire a minibus for a wedding?

Yes, and it is one of the most common uses. Guest collection from hotels, transport to the venue, and return afterwards. Book two to four weeks ahead — wedding dates do not move.

Can I drive a minibus myself?

Only if you hold the right licence category. Most drivers who passed a car test after 1 January 1997 do not automatically have D1, which a 9–16 seat minibus requires. Check before assuming.

Getting a Quote and Booking

What we need from you, and what comes back.

Step What happens
1. Get in touchCall +44 20 3617 7825 or use the online quote request
2. Give the journeyPickup location or locations, destination, date and time, return required or not
3. Give the groupPassenger count, luggage, accessibility or child seat requirements, event details if relevant
4. Vehicle selected7-seater or 12-seater, driver-led or self-drive where available
5. Quote issuedAll-inclusive, typically within 24 hours, with a stated validity period — commonly 30–90 days
6. Confirm the bookingReference, driver contact details, vehicle and confirmed pickup time issued
7. On the dayYour driver makes contact to confirm, arrives on time, journey proceeds

Have this ready and the quote is quick: exact passenger count including children · realistic luggage per person · every pickup address in the order you want them served · the date and required times · flight details for an airport transfer · a contact number for the driver on the day · anything unusual, such as sports equipment, a wheelchair or an instrument.

How far ahead to book: 24–48 hours as a minimum for routine transfers; two to four weeks for weddings and events, and earlier still for peak weekends and school holidays. Fixed-date occasions should be booked as soon as the date is fixed.

Why a Minibus Rather Than Several Taxis

The practical case, which is mostly about the group arriving as a group.

  • Everyone stays together. One vehicle, one departure, one arrival — rather than a party split across cars that reach the destination at different times.
  • Coordinated airport collection. For a group landing on the same flight, one meeting point and one vehicle beats several taxis and a scattered forecourt.
  • Cost efficiency above about eight people. Compared with multiple cars, a single minibus is frequently cheaper on longer journeys — and always simpler.
  • Luggage travels with the group. All in one hold, not distributed across vehicles with the inevitable confusion at the far end.
  • Event logistics handled. Guest collection, venue transport and returns arranged as one plan rather than a dozen individual arrangements.
  • Nobody in the group has to drive. Which matters at a wedding, at an evening event, and on any journey where the group would rather talk than navigate.
  • Flexibility. Multiple stops, timing adjustments and routeing changes can be built in at booking.

Frequently Asked Questions

Q: How much does minibus hire at Stansted cost?

A: It depends on vehicle size, distance, duration, number of stops, date and whether you need a return. There is no standard rate — provide your group size, pickup, destination and date for an all-inclusive quote.

Q: What size minibus do I need for my group?

A: Five to seven passengers suits a 7-seater; eight to twelve needs a 12-seater. Luggage matters as much as headcount — seven people with a large case each usually means sizing up.

Q: Is a driver included with minibus hire?

A: Yes. Standard hire is driver-led. The driver manages the route and timing, assists with luggage, handles airport procedures and coordinates the group — all included in the price.

Q: Can a minibus collect passengers at Stansted Airport?

A: Yes, from the designated group-vehicle pickup area after you exit the terminal. Allow 45–60 minutes after landing for baggage collection, and longer for a large group or an international arrival.

Q: Can a minibus wait at Stansted while we clear baggage?

A: Not indefinitely — airport rules require prompt collection and vehicles cannot wait unattended at the forecourt. If you expect delays getting out, say so at booking so a suitable arrangement is made in advance.

Q: Can I drive a hired minibus myself?

A: Only with the correct licence category. A 9–16 seat minibus requires category D1, and drivers who passed a car test on or after 1 January 1997 do not automatically hold it. Check your own licence at GOV.UK first.

Q: Is self-drive minibus hire available at Stansted?

A: Availability varies. Where offered, it requires the correct licence category, a minimum driver age (typically 25), and confirmation of insurance, fuel and damage terms. Confirm explicitly for your dates when requesting a quote.

Q: Can I hire a minibus for a wedding?

A: Yes — guest collection from hotels, transport to the venue and return afterwards, with multiple pickup points coordinated. Book two to four weeks ahead, since wedding dates cannot move to suit availability.

Q: Can I hire a minibus for a corporate event?

A: Yes. Conferences, private functions and group outings are all standard bookings. Provide the event date, passenger count, pickup and drop-off points and any staged timing requirements.

Q: Can I hire a minibus for a sports team?

A: Yes, for matches, tournaments and training. Flag equipment volume when booking — kit displaces luggage capacity, and it is better to size the vehicle correctly than to discover the problem on the day.

Q: Can a minibus carry airport luggage for everyone?

A: Generally yes, but confirm the actual bag count at booking. At full occupancy, luggage space rather than seating is usually the binding constraint, and a larger vehicle may be the right answer.

Q: Can the minibus make multiple pickups?

A: Yes. Provide every pickup address and your preferred order when booking, and the routeing and timing are planned around them. This is standard for weddings and corporate events.

Q: Can I book a return journey?

A: Yes, either as part of the same booking or separately depending on the dates. Booking the return in advance is strongly advised for events with a late finish.

Q: How far in advance should I book minibus hire?

A: 24–48 hours minimum for routine transfers. Two to four weeks for weddings and events, and earlier for peak weekends and school holidays. Fixed-date occasions should be booked as soon as the date is set.

Q: How do I get a minibus hire quote, and how long does it take?

A: Call +44 20 3617 7825 or submit the online form with your group size, pickup, destination and date. Quotes are typically returned within 24 hours and carry a stated validity period, commonly 30 to 90 days.
